Using Corporate Signatures
If you belong to a team on a Business plan, your admin may create corporate signatures — pre-designed, branded signatures that you and your team can use. This guide explains how to view, customize, and install corporate signatures as a team member.
Viewing Corporate Signatures
When you switch to your team workspace using the tenant switcher in the navigation bar, you'll see all corporate signatures created by your team admin in a gallery view.
Each signature shows a live preview with your profile data automatically filled in (name, title, email, phone, etc. from your user profile). This means the signature you see is personalized to you — even though the design is shared across the team.
Customizing Your Signature
If your admin has enabled member customization on a signature, you'll see a Customize button. Clicking it opens the signature editor with some fields you can personalize.
What You Can Customize
Only fields that your admin has marked as "free text" and unlocked are editable. You'll notice three types of fields:
Editable Fields
These have no lock or badge. You can type your own content. This is where you add personal touches.
Pre-filled Fields
Marked with a "Profile" or "Company" badge. These are pulled from your profile or company data and are read-only.
Locked Fields
Marked with a lock icon and "Locked" badge. Set by your admin and cannot be changed. These ensure brand consistency.
Design & Layout
The template, colors, fonts, and overall design are managed by your admin and cannot be changed by members.
Saving Your Customizations
Your customizations are saved as personal overrides on top of the corporate signature. The admin's original signature is not affected — only your version changes.
Resetting to Defaults
If you want to undo all your customizations and go back to the admin's original version:
Cloning to Personal
You can clone a corporate signature to your personal workspace. This creates an independent copy that you have full control over:
Copying & Installing
From the corporate signature gallery, you can directly copy or download any signature without opening the editor:
- Copy — Copies the rendered signature (with your profile data) to your clipboard. Paste into your email client.
- HTML — Copies the raw HTML code.
- .htm — Downloads the signature as an .htm file for Outlook import.
