Installing Your Signature

Once you've created your signature, you need to set it up in your email client. Byline gives you three ways to export your signature, then you install it in your email app.

Export Methods

From the signature editor (or the quick actions on any signature card), you can:

Copy Signature

Copies a rich-text version to your clipboard. Paste directly into your email client's signature settings.

Copy HTML

Copies the raw HTML code. Useful for email clients that accept HTML input in their signature editor.

Download .htm File

Downloads a complete HTML file. Required for importing into Outlook Desktop on Windows.


Gmail

In Byline, click Copy on your signature to copy it to your clipboard.

Open Gmail and click the gear icon (top-right), then See all settings.

Scroll down to the Signature section. Click Create new and give it a name.

Click inside the signature text box and press Ctrl+V (or Cmd+V) to paste your signature.

Under "Signature defaults", select your new signature for new emails and/or replies.

Scroll to the bottom and click Save Changes.

Gmail tip If the paste doesn't look right, try right-clicking and selecting "Paste without formatting" first, then paste again normally. Gmail sometimes adds extra formatting on the first paste.

Outlook Desktop (Windows)

In Byline, click .htm on your signature to download the file.

Open Outlook and go to File > Options > Mail > Signatures.

Click New and give your signature a name.

Navigate to your Outlook signatures folder: %APPDATA%\Microsoft\Signatures\ — paste this path into File Explorer's address bar.

Copy the downloaded .htm file into this folder, renaming it to match the signature name you created in step 3.

Restart Outlook. Your new signature should now appear in the Signatures dropdown.

Alternative method You can also try copying the signature (Copy button) and pasting directly into the Outlook signature editor, though some formatting may not transfer perfectly. The .htm file method is more reliable.

Outlook Web (OWA / Microsoft 365)

In Byline, click Copy on your signature.

Open Outlook Web and click the gear icon (top-right), then View all Outlook settings.

Go to Mail > Compose and reply.

Under Email signature, click in the text area and paste with Ctrl+V.

Optionally check "Automatically include my signature on new messages" and "on replies/forwards".

Click Save.

Apple Mail (macOS)

In Byline, click Copy on your signature.

Open Apple Mail and go to Mail > Settings (or Preferences), then the Signatures tab.

Select your email account on the left, then click + to create a new signature.

Click in the preview pane on the right and paste with Cmd+V.

Select the new signature from the "Choose Signature" dropdown at the bottom.

iOS Mail optimization If your signature doesn't render correctly on iPhones, go back to the Byline editor, open the Design tab, and enable the iOS Mail Optimization toggle. Then re-copy and re-install the signature.

Other Email Clients

For any email client that supports custom HTML signatures:

  1. Use the Copy HTML option in Byline.
  2. Look for a "Signature" or "Email signature" section in your email client's settings.
  3. If the client has an "HTML" or "Source" mode, switch to it and paste the HTML code.
  4. If it only supports rich text, use the regular Copy option and paste directly.

Updating Your Signature

When you make changes to a signature in Byline, you'll need to re-copy and re-install it in your email client. Email clients store signatures locally — they don't automatically sync with Byline.
