Your Profile

Your profile stores the personal and contact information that can be used across all your signatures. Keeping your profile up to date means you can quickly populate new signatures without re-entering details.

Accessing Your Profile

Click your avatar in the top-right corner of the navigation bar and select Profile. Your profile is organized into four tabs:

Profile

Personal info, contact details, profile image, and social media links.

Security

Password, two-factor authentication, and account activity.

Plan & Billing

Current plan, subscription status, and billing management.

Preferences

Guided tours management and app preferences.


Personal Information

The Profile tab lets you edit:

  • First Name & Last Name — Your display name used in signatures.
  • Title — Your job title or role (e.g., "Marketing Director").
  • Department — Your department within the organization.
  • Pronouns — Optional pronouns (e.g., "she/her", "he/him").
  • Tagline — A short personal motto or bio line.

Contact Details

  • Phone & Mobile Phone — Office and mobile numbers.
  • Address — Physical address for your signature.
  • Website — Your personal or company website URL.
  • Meeting Link — A link to your calendar booking page (e.g., Calendly).

Profile Image

Add a profile photo or headshot that can appear in your signatures. You have two options:

  • URL — Paste a direct link to an image hosted elsewhere.
  • Upload — Upload an image directly to Byline's cloud storage (requires a paid plan).

Best practices for profile images Use a square image at least 200x200 pixels. JPEG or PNG formats work best. Keep the file size under 1MB for fast email loading.

Social Media Links

Add links to your social profiles. These appear as clickable icons in your signatures:

  • LinkedIn
  • Twitter / X
  • Facebook
  • Instagram
  • YouTube
  • GitHub

Enter the full URL (e.g., https://linkedin.com/in/yourprofile). Leave a field blank to hide that icon from your signatures.


Brand Profiles

If you belong to a team with multiple verified domains, you may see a Brand Profiles section. This lets you maintain different contact details and social links for each domain/brand you're associated with.

For example, if your company has both acme.com and acme-labs.com, you can have different titles, phone numbers, or social links for each brand. Your name and pronouns always come from your main profile.

Email is domain-locked Your email address in each brand profile must match that brand's domain (e.g., [email protected] for the acme-labs.com brand).

Changing Your Email Address

To change the email address associated with your account:

Go to Profile > Plan & Billing tab.

Click Change Email next to your current email address.

Enter your new email address. A verification link will be sent to the new address.

Click the verification link in the email within 24 hours. Your email will be updated once verified.

Pending change While waiting for verification, you'll see a notice showing the pending email address and a countdown. You can cancel the pending change at any time.
