Creating Signatures

Signatures are the core of Byline. This guide walks you through every part of the signature editor — from choosing a template to fine-tuning individual field styles.

Creating a New Signature

From the Signatures home page, click the New Signature button. You'll be taken to the signature editor, which is split into two panels:

  • Left panel — The editor with six tabs for different aspects of your signature.
  • Right panel — A live preview that shows exactly how your signature will look in an email, along with copy/export buttons.

Profile Tab

The Profile tab is where you enter your personal and contact information. Fields include:

  • First Name & Last Name — Your display name.
  • Title — Your job title (e.g., "Software Engineer").
  • Company — Your company or organization name.
  • Phone & Mobile Phone — Contact numbers.
  • Address — Physical address.
  • Email — Your email address (validated against your verified domains).
  • Website — Your website URL.
  • Tagline — A short personal motto or phrase.
  • Pronouns — Optional pronouns (e.g., "they/them").
  • Meeting Link — Calendar booking URL (Calendly, Cal.com, etc.).
  • CTA Button — A call-to-action button with custom text and URL (e.g., "Book a Call").

Auto-fill from profile Fields are automatically populated from your user profile, so keep your profile up to date and you won't have to re-enter details for each signature.

Any field left blank is simply hidden from the signature — no empty space or labels are shown.


Design Tab

Choosing a Template

Byline offers 14 templates organized into two categories:

Classic Templates (Free)

Clean, Side by Side, Professional, Sophisticated, Bold, Compact — available on all plans.

Creative Templates (Pro)

Minimal, Banner, Editorial, Vivid, Grid, Zen, Ribbon, Gallery — available on paid plans.

Click any template thumbnail to apply it. The live preview updates instantly so you can compare templates quickly.

Colors & Fonts

Customize your signature's visual style:

  • Font — Choose from Arial, Georgia, Verdana, Tahoma, Trebuchet MS, Times New Roman, or Courier New.
  • Accent Color — The primary highlight color used for your name, links, and dividers.
  • Text Color — Main text color (paid plans).
  • Muted Text Color — Secondary/lighter text (paid plans).
  • Background Color — Signature background (paid plans).
  • Alignment — Left, center, or right alignment.

Advanced Design Options

Paid plan feature Advanced design options like font scaling, line spacing, per-field typography, and social icon styling are available on paid plans.

Paid plans unlock additional design controls:

  • Font Scale — Adjust overall text size (0.8x to 1.4x).
  • Line Spacing — Control vertical spacing between lines (1.0 to 2.0).
  • Space from Email — Gap between your email body and signature (0–40px).
  • Per-field Typography — Customize font, color, size, bold/italic/underline, and text transform individually for Name, Title, Company, Labels, and Details.
  • Label Format — How field labels appear: Full ("Phone"), Initial ("P"), Icon, or None.
  • Detail Direction — Arrange details horizontally or vertically.
  • Detail Separator — Choose pipe (|), dot, square, or none between details.
  • iOS Mail Optimization — Toggle to fix rendering issues in Apple Mail on iOS.

Social Icon Styling

Customize how your social media icons appear:

  • Fill Style — Filled (solid), Outlined (border only), or Plain (icon only).
  • Shape — Square, Rounded, or Circle.
  • Size — Icon size from 16px to 32px.
  • Spacing — Gap between icons (2px to 12px).

Image Tab

Add a profile photo, company logo, or any image to your signature.

Image Settings

  • Show Image — Toggle to show or hide the image.
  • Shape — Circle, Rounded square, or Square.
  • Fit Mode — "Crop to Square" or "Fit (Preserve Ratio)" — the latter is ideal for logos.
  • Size — Adjust from 40px to 150px.

Image Sources

Three ways to add an image:

  • URL — Paste a direct link to an image hosted elsewhere.
  • Upload — Upload directly to Byline's cloud (paid plans).
  • Company — Use your team's company logo or banner (team context only).

Image Animation

Create an animated signature image that loops between two photos with a smooth transition:

  • Enable animation — Turn on the "Animate" toggle.
  • Add two images — Set Image 1 and Image 2.
  • Choose transition — Crossfade, Zoom, Slide, or Dissolve.
  • Set speed — 1 to 8 seconds per image.

Email client support Animated GIFs work in most web-based email clients (Gmail, Outlook Web) and Apple Mail. Some desktop clients like Outlook for Windows will show the first frame as a static image.

Social Tab

Add links to your social media profiles. Six networks are supported:

  • LinkedIn, Twitter/X, Facebook, Instagram, YouTube, GitHub

Enter the full URL for each profile. Leave blank to hide an icon. The icons are automatically styled based on your Design tab settings (fill, shape, size, spacing).


Extras Tab

Click Tracking

Enable opt-in click tracking to monitor which links in your signature get clicked. See the Click Tracking guide for details.

Disclaimer

Add a legal disclaimer or confidentiality notice that appears below your signature. This is commonly used for legal compliance.


Managing Your Signatures

The Signatures home page shows all your signatures in a card grid (or list view). Each signature card offers quick actions:

  • Edit — Open the signature editor.
  • Copy — Copy the signature to your clipboard, ready to paste into an email.
  • HTML — Copy the raw HTML code.
  • .htm — Download as an .htm file (useful for Outlook import).
  • Clone — Create a copy of the signature.
  • Rename — Click the signature name to rename it inline.
  • Delete — Remove the signature (with confirmation).
  • Set as Default — Mark one signature as your default.

Signature Limits

The number of signatures you can create depends on your plan. If you've reached your limit, you'll see a message when trying to create a new one.

Undo

Made a mistake in the editor? Press Ctrl+Z (or Cmd+Z on Mac) to undo your last change. Byline keeps up to 50 undo steps.

Import & Export

You can export your signatures as a JSON file and import them on another account or as a backup. Find these options in the Export tab of the signature editor.
